Reality Check:
Why manual processes become a source of errors
A department change, temporary substitution or parental leave: each of these situations affects several systems at the same time. Without automation, individual people have to update every change manually.
Forgotten follow-up changes
Master data changes, but access rights and groups are forgotten.
Missed deadlines
Time-critical changes for parental leave or deadlines are overlooked.
Approvals without automated follow-up steps
Even after approval, IT still has to initiate implementation manually.
Lost time through repetitive tasks
Administrators waste time on duplicate data entry.

Your IAM Automation with IDM-Portal

All data automatically correct everywhere
One entry, many effects
When an HR manager changes an employee’s department, FirstWare IDM-Portal responds immediately: roles, group memberships and access rights are adjusted automatically, without manual follow-up. Stored automation rules detect the change and independently trigger all required follow-up steps.
The same applies to seemingly small changes: if an employee’s name changes, for example after marriage, master data updates, UPN changes and the maintenance of email aliases are no longer manual tasks. The one-time entry is made through the intuitive interface, while the technical implementation in the background is handled by the my-IAM Services.
This is not a fixed set of special cases. It can be configured for any number of scenarios, adapted to what actually happens in your organization.
Reliable planning
Changes that take effect at exactly the right time
Some changes should not take effect immediately, but at a specific point in time or for a defined period.
For example, a key user plans a colleague’s parental leave: access rights are paused on the desired date and automatically reactivated on the agreed return date.
This also pays off for trainees. A department change during training or completion of the program itself can be scheduled in advance. The appropriate access rights then take effect automatically at the right time.
Temporary project access can also be set up for a clearly defined period, such as “from... to...”. Your departments and key users handle this independently in IDM-Portal.

Involving key decision-makers
One approval, many automated follow-up steps
When an employee requests access to a sensitive application, the responsible manager or key user is automatically notified by email and decides on the approval. From that moment on, automation takes over: the approval process starts, and once approval has been granted, access is automatically set up.
This preserves the principle of least privilege, because every permission goes through a deliberate decision before it is implemented automatically. Every request, every decision and every triggered follow-up step is documented in IDM-Portal in a traceable way.
You define exactly how these approval processes are structured: multi-stage, role-based or with substitution rules.

Frequently Asked Questions
Frequently asked questions about IAM automation, efficient identity processes, automated workflows and secure user management with FirstWare IDM-Portal.
What is IAM Automation?
IAM Automation describes the ability of FirstWare IDM-Portal to automatically respond to a single entry with additional stored changes, whether immediately, at a scheduled time or after approval. Instead of manually updating every adjustment in several systems, automation handles the follow-up steps independently.
What is the difference between IAM Automation and Identity Lifecycle Management?
Identity Lifecycle Management describes the Joiner-Mover-Leaver process as the overarching concept. IAM Automation is the technical mechanism that drives this process: it ensures that a single change automatically triggers all required follow-up steps in connected systems.
How does time scheduling for planned changes work?
You define either a specific point in time or a period with a start and end date, for example for parental leave or a temporary project. At the stored date, FirstWare IDM-Portal automatically carries out the planned change without anyone having to intervene manually.
Can non-IT employees also set up automations?
Yes. Time-controlled changes and many other automations can also be configured by key users in the departments within their assigned role, without any technical background knowledge.
How does IAM Automation contribute to Identity Governance & Administration?
IAM Automation is the technical backbone of your Identity Governance & Administration. Automated triggers and rules make it possible to implement role assignments, recertifications and approvals consistently and without manual gaps. This ensures that governance requirements do not just exist on paper, but actually take effect with every single change.
How does IAM Automation help save license costs?
Automated triggers detect role changes, temporary periods or departures and adjust licenses accordingly: licenses that are no longer needed are released automatically, while new ones are assigned automatically. This helps you avoid both unused and missing licenses.
