Reality Check:
When every small change becomes an IT ticket

Without the right tools, every data change and every access request ends up in your IT ticket system. What may be a small task for an individual employee adds up to a daily burden for your team.

Endless tickets

Routine requests clog up the helpdesk every day.

No time for strategic projects

Your team handles the same small tasks again and again.

Access without a documented process

The fastest route wins, not the right access decision.

Audit uncertainty

Approved access rights are difficult to reconstruct.

Challenges without Self Management: overloaded IT teams, tickets and undocumented access

Your Profile & Self Management with the IDM-Portal

Profile Management in FirstWare IDM-Portal: employees maintain master data such as phone number and address themselves in real time

Profile Management

Master data maintained by employees themselves

When a phone number, address or profile picture changes, employees enter the update themselves in FirstWare IDM-Portal, in real time. The interface is self-explanatory, so no training is needed to maintain personal data. Your team does not have to process a ticket or answer follow-up questions.

Every change is immediately written to the right system, whether you work cloud-native or operate a hybrid infrastructure. This keeps data consistent across the organization and gives administrators more time for other tasks.

Self Management

Access requests that no longer end up with your IT team

When an employee needs access to an application, folder or group, they submit the request themselves through a clear web interface. FirstWare IDM-Portal automatically forwards it to the responsible approver, whether that is a manager, a key user in the department or the responsible resource owner.

This means access requests no longer disappear in email inboxes. Every request, every approval and every rejection is documented traceably: as a transparent status for employees and as audit-proof evidence for your organization.

You decide exactly how your organization structures these approvals: multi-stage, role-based and with substitution rules.

Control and ownership

Self-management that remains traceable at all times

Self-management must never come at the expense of control. Every profile-data change and every access request is logged audit-proof: who requested what, when, who approved it and on what basis.

This keeps Self Management convenient for employees and audit-ready for your organization at all times. Regular recertifications make it clear whether self-requested access rights are still needed. Unnecessary permissions are consistently identified instead of quietly accumulating.

Frequently Asked Questions

Frequently asked questions about Profile and Self Management, self-maintenance of personal data and secure self-service processes with FirstWare IDM-Portal.

What does self-service mean in Identity & Access Management?

Self-service means that employees can maintain their own profile data and request access independently, without relying on IT. Requests are automatically forwarded to the responsible people for approval.

What is the difference between Profile Management and Self Management?

Profile Management means independently maintaining personal master data, such as phone number, address or profile picture. Self Management goes one step further: users request access rights or group memberships themselves, which are then approved through a documented approval workflow. In short: Profile Management changes data, Self Management changes permissions.

Does Self Management also work with multiple directories at the same time?

Yes. FirstWare IDM-Portal synchronizes changes and access requests seamlessly between traditional directories, Microsoft Entra ID and other connected systems, regardless of where an identity is originally managed.

Who approves access requests in Self Management?

You define this flexibly. Typically, it is the direct manager or a defined resource owner. Every decision is logged audit-proof and can be traced at any time.

Does self-service really relieve the helpdesk?

Yes, noticeably. Routine requests such as data changes, password resets or simple access requests no longer require manual IT intervention. This reduces ticket volume and gives your team more time to focus on strategic IT projects.

How does the IDM-Portal ensure that self-service does not lead to loss of control?

Every access request and every profile change is logged completely: who requested what, who approved it and when. Regular recertifications also allow you to check whether independently requested access rights are still needed. This creates convenience for employees while securing the processes end to end.

Does the IDM-Portal also offer a contact directory?

Yes. Employees maintain their own contact details and can find colleagues with up-to-date phone, Teams and email information, available on the web, mobile, directly in Teams and in Outlook.
