When an HR manager changes an employee’s department, FirstWare IDM-Portal responds immediately: roles, group memberships and access rights are adjusted automatically, without manual follow-up. Stored automation rules detect the change and independently trigger all required follow-up steps.

The same applies to seemingly small changes: if an employee’s name changes, for example after marriage, master data updates, UPN changes and the maintenance of email aliases are no longer manual tasks. The one-time entry is made through the intuitive interface, while the technical implementation in the background is handled by the my-IAM Services.

This is not a fixed set of special cases. It can be configured for any number of scenarios, adapted to what actually happens in your organization.

Some changes should not take effect immediately, but at a specific point in time or for a defined period.

For example, a key user plans a colleague’s parental leave: access rights are paused on the desired date and automatically reactivated on the agreed return date.

This also pays off for trainees. A department change during training or completion of the program itself can be scheduled in advance. The appropriate access rights then take effect automatically at the right time.

Temporary project access can also be set up for a clearly defined period, such as “from... to...”. Your departments and key users handle this independently in IDM-Portal.

When an employee requests access to a sensitive application, the responsible manager or key user is automatically notified by email and decides on the approval. From that moment on, automation takes over: the approval process starts, and once approval has been granted, access is automatically set up.

This preserves the principle of least privilege, because every permission goes through a deliberate decision before it is implemented automatically. Every request, every decision and every triggered follow-up step is documented in IDM-Portal in a traceable way.

You define exactly how these approval processes are structured: multi-stage, role-based or with substitution rules.
